Relato de una Wedding Planner / Tale of a Wedding Planner

Tras 15 meses de preguntas, entrevistas, sugerencias, alegrías, retoques, búsquedas y reuniones con los colaboradores…, llega el Gran Día… el momento en el que se justifica la figura de una wedding planner. Ésta es la crónica del día de la Boda de Ruth y Julien, el 18 de mayo de 2013. En breve os haré disfrutar con las fotos…

Relato de una Wedding Planner

6:00 – Me levanto, más bien me levanta el despertador. Lo primero que miro es el cielo. ¡Vaya, llueve!
7:00 – Salgo de casa con todo el material. Esta vez montamos una Candy Bar rústica-vintage
7:30 – Recojo a Mónica, cuatro manos mejor que dos
8:30  – Llegamos al lugar de celebración. Después de muchos baches, barro y más lluvia…
9:00 – Miramos el pronóstico del tiempo. Evaluamos si hacemos la ceremonia civil dentro o no. Decidimos aguantar al máximo el montaje exterior pero acondicionamos el plan B interior por si acaso. Todo tiene que estar previsto y preparado
9:30 – Me llama Julien, el novio, que van a llegar una hora más tarde, sobre las 11h. Debido al mal tiempo, ellos y los invitados han tenido que hacer un aterrizaje forzoso con el globo aerostático. Sí, sí nuestras parejas también van en globos el día de su boda !!! Por suerte, no ha habido daños, sólo risas y anécdotas que contar durante el día de la boda… Continúan las sorpresas para los invitados
10:00 – Decidimos montar la ceremonia fuera. Miramos la trayectoria del sol ( por fin luce el sol, 🙂 ). Calculamos la ubicación del altar (no queremos que los novios estén en la sombra),  la colocación de las nueve balas de paja, que utilizaremos como asientos, y Mireia la florista decide cambiar unas lianas de flores sueltas por cubos de zinc, que dan más juego…, colgados en las ramas del árbol . Esta cortina de cubos de lavanda, de farolillos y corazones de tela queda ESPECTACULAR. Photocall listo
11:00– Me llama el DJ. Atascado en el barro, no se puede mover ni un milímetro. Prevemos posible sustituto y enviamos a alguien en su rescate
11:15   – Llegan los novios y los invitados. Retraso alegre de toda una tropa con ganas de seguir con la fiesta.  Modificamos el timing de la sesión de maquillaje y peluquería para la novia e invitadas mientras los chicos realizan una cata de quesos y vino en la bodega.
11:30 – El rescate del DJ también se encalla. Llaman a la asistencia en carretera. Tranquilidad. Todo acaba bien, aunque ya teníamos al sustituto
13:30 – Siguen las sesiones de fotos en las habitaciones, la bodega, el restaurante… Montaje de la mesa imperial, decoración, sitting
16:00 – Ceremonia civil. No llueve. Ha parado el viento. Las balas de paja resisten. Música de entrada de los novios juntos. Emoción, mucha emoción: las lecturas del padre de Julien y de la hermana de Ruth son muy emotivas. Más lecturas, discursos, anillos, firmas, salida… Todo sale según el orden establecido a pesar de las dos horas y media de retraso. Mónica monta la Candy Bar campestre (un exitazo) y la mesa de los detalles de los invitados: Vino de la tierra y mermelada de coca cola con pimientos rojos. Sí, sí, espectacular… Hand made por parte de Ruth
16:30 –  Un poco de aperitivo, en el interior. Chispea
17:30 – A comer. Montamos el pastel. Suculenta comida. Menú vegano incluído
20:00 – Llega la caravana de crêpes que estaba prevista para la cena. Nos adaptamos. Proponemos dejar el pastel para el resopón, junto con la Candy Bar y desgustar las crêpes como postres…, ¡junto a unas cervezas del montseny!
20:45  – Baile. Barra libre. Momento Gin Tonic
21:45 – Y cuando todo está en marcha, con alegría y diversión, con risas y lágrimas, en lo más álgido… es el momento de irse.
23:00 – Dejo a Mónica en su casa
23:30 – Aparco. Llego a mi casa. El descanso de la wedding planner. ¡Good Job!
 

Y ése es parte de mi trabajo. Evitar que los novios se preocupen innecesariamente uno de los días más felices de su vida. Buscar alternativas a los imprevistos. Convertir en oportunidades los problemas, coordinar los diferentes actores para que salga una obra perfecta, estudiar el guión previo y prever incidencias, tener resueltas esas incidencias antes incluso de que se produzcan, mantener la calma de los novios, guiar, rodearme de los mejores profesionales… Y más, mucho más… ¿Quieres que te lo cuente? After 15 months of questions, meetings, suggestions, happiness, retouches, a lot of search and meetings with vendors…., The Big Day arrives. That is, the precise moment that justifies the role of a wedding planner. This is the story of Ruth and Julien´s wedding on May 18th , 2013.

Tale of a Wedding Planner

6:00 – I wake up. In fact, my alarm clock wakes me up. The first thing I do is to look at the sky. Unfortunately it is raining
7:00 – I go out home with all my material. This time we have to settle a rustic, vintage and very nice candy bar.
7:30 – I pick up Monica, four hands are better than two.
8:30 – We arrive at the place of the celebration. After having passed a lot of potholes, mud and more rain…
9:00 – We check the weather forecast. We assess if the ceremony is going to take place outdoors or indoors. We decide to keep the open air staging. However, we arrange the plan B inside just in case … Everything has to be foreseen and ready.
9:30 – Julien, the groom, calls me to tell  that they are going to arrive one hour late, at around 11 h. Due to the bad weather they have had to do a  forced landing when they were gliding in a hot air balloon. Yes, our couples also do travel in balloons the day of their wedding!!!!! Fortunately, nobody has been hurt. There are just laughing and will have anecdotes to tell during the wedding day… There will be more surprises for the guests during all the Day anyway.
10:00 – We decide finally to arrange the ceremony outside. We observe the ray of light (finally the Sun is shining). We decide the location of the altar (we do not want the couple to be in the shadow) and of the nine straw balls that we are going to use as seats during the ceremony. Mireia, the florist, decides to change the flower vases for zinc cubes and baskets- That curtain of the cubes and baskted full of lavender, lanterns and fabric hearts looks SPECTACULAR.
The photocall is ready.
11:00 – The DJ calls me because he is stuck in the mud. He cannot move the car at all. We send someone to help him and start looking for a substitute just in case it is impossible to take him out of the mud.
11:15 – Our couple and the guests arrive. Although they have arrived one hour late (and suffered a forced hot air balloon landing) they are thrilled to continue the party. We rearrange the timing of the bride and ladies make-up and hairdressing while men do a tasting of cheese and wine in the winery.
11:30 – The DJ´s rescue is failing as well (stuck in the mud too!). We call the road assistance. We need to keep calm. Finally everything is all right and we have the DJ substitute ready.
13:30 – The Photogtaphers shooting continues in the rooms, the winery, the restaurant…And the set up of the imperial table, decorations and sitting are still in process.
16:00 – The civil ceremony starts and it is not raining. The wind has stopped and the straw balls resist. The couple´s entrance music starts playing. Emotion, a lot of emotion floats in the air: Julien´s father and Ruth´s sister readings are very touching. More readings, speeches, the rings, the signatures, the exit… Everything goes smoothly despite the two hours and a half delay. Monica arranges the rustic Candy Bar, which is a success and the table with all the favors that will be given to the guests: national wine, handmade marmalade of Coca-Cola and red peppers!! Yes, you read it well, Coke and red peppers … simply amazing…. Ruth did it!!! (she’s a fan of coke)
16:30 – The cocktail is given indoors. It is drizzling.
17:30 – It is time to eat. We prepare the cake. The food tastes fabulous even the vegetarian menu (one of the best l have ever seen)
20:00 – The van of crêpes is ready for the dinner. We adapt ourselves to new trends. We decided to postpone the cake and the candy bar for the disco and offer the crêpes for desserts…. And of course combined with some nice local beers from the Montseny!
20:45 – Dancing. Open bar. Gin Tonic moment.
21:45 – And when everything is going by perfectly, when the fun and diversion is up in the air and laughing and tears are at the breaking point…. It is time to go.
23:00 – I take Monica back to her home
23:30 – I park the car. I arrive home. It is the Wedding Planner´s time to relax

¡Good job!

That is a part of my job: to avoid that the couple are unnecessarily worried during one of their happiest day of their life. I look for alternatives in case of any unexpected event may happen. I transform problems into opportunities. I coordinate all the vendors to make it perfect. I study the guideline and forecast possible incidents in order to solve them in advance.
